Job Summary
The jobholder (CFS for 2 2-year contract) is responsible for providing end-to-end administrative functions and support to the SR Team in the procurement and disbursement of the various incentives to eligible participants of KelasMateMatika (KMM). The jobholder is expected to work over the weekend to support SR Team in ensuring the smooth delivery of KMM (onsite, online or hybrid) runs.
Key Responsibility Areas
1. Disbursement of refreshment e-vouchers to online KMM participants
- To verify attendance and email refreshment e-vouchers to eligible families.
2. Disbursement of CDA top-up
- To disburse the CDA top-up to KMM children in the B50 category who have completed and graduated from KMM.
3. Disbursement of learning journey e-vouchers
- To verify attendance and email learning journey e-vouchers to eligible families.
4. Data management
- To maintain up-to-date and accurate records and database of KMM participants and recipients of the refreshment and/or learning journey e-vouchers and CDA top-up, and ensure confidentiality and data integrity.
5. Programme support
Provide onsite support during KelasMateMatika sessions, including:
- Registration and family participants management
- Distributing materials and incentives
- Assisting with technical setup and troubleshooting
- Coordinating with vendors and stakeholders
- Assist in setting up and preparing venues, including arranging furniture, equipment and materials
- Ensure that all materials, equipment, and supplies are properly stored after sessions
6. Communication support
- To manage communication with families via WhatsApp/SMS, ensuring timely and efficient contact, which includes:
- Sending reminders and notifications about upcoming KMM sessions
- Sharing programme updates and schedules with families
- Responding to inquiries and concerns from families
- Coordinating with the SR Team to ensure consistent and accurate communication
7. Work schedule
- To work 4 days per week + one weekend day (Saturday or Sunday) based on a roster to provide admin support during the onsite KMM run.
Requirements
- Diploma in Business Administration/ Project Management or other related degrees.
- 2-3 years of experience in programme/events delivery and management, and stakeholder engagement and management.
- Good understanding of MM demographics, growth sectors, and employment and career landscapes. Interest in education and community issues.
- Strong interpersonal skills and the ability to manage stakeholders across different levels.
- Able to communicate persuasively and possess excellent communication skills(written and verbal).
- Proactive and motivated, as well as a team player.
- Strong administrative and project management skills, and detail-oriented.
