Job description
Broad Function

Provide administrative support to the Nursing Education and Development Unit in all education and training related issues.

Key Roles & Responsibilities
Specific
  1. Nursing Education and Development
  • Provide administrative and logistic support in planning, preparing, executing and evaluating the training and education for the nurses and HCAs on a daily basis to fulfil the training and learning plans.
  • Support and assist in the planning, implementation and evaluation of orientation, inservice and continuing education programs for all levels of nursing personnel and support care staff.
  • Co‑ordinate, facilitate and register internal/ external course applications.
  • Co‑ordinate and schedule interview for in‑service sponsorship and Clinical Instructor Course.
  • Schedule and co‑ordinate meetings and nursing education events such as nursing seminar/conference, projects and educational activities.
  • Prepare and assist nurse educators to compile educational program learning records; and to generate final report to relevant stakeholders in meaningful and timely manner.
  • Collaborate with relevant stakeholders to ensure quality educational sessions are delivered to learners.
  • Apply CNE points for educational courses through Singapore Nursing Board website.
  • Manage assets and supplies for the team.
  • Serve as a resource person for nurses in relation to the coordination, management and the implementation of nursing programs.
  • Assist with compiling annual training calendar and tracking its utilisation.
  • Assist in logistics arrangement and reimbursement for overseas training.
  • Ensure all nurses have valid life support certification by keep tracking of their expiry date and schedule re‑certification class.
  1. Data Management
  • Upkeep data validity and reliability by establishing, updating and maintaining databases for training records, attendances, life support and ISS sponsorships records.
  • Develop and maintain a central database for LNA and Training Record (consolidated from various sources) for all nursing staff which is accessible by all supervisors on demand.
  1. Designated System User
  • Perform as the designated system user in various platforms such as e‑learn, CPE application, iHR, SAP, ePAS system to help ensure operation needs are met within the stipulated timeline.
  • Create, update and manage course request and course registration in iHR.
General
  1. Coordinate the daily administrative functions of the department e.g. filing, documentation, and raising purchase requisition.
  2. Develop and maintain department filling system effectively and efficiently.
  3. Assist to raise purchase request for items approved.
  4. Manage office matters and logistics.
  5. Other ad‑hoc duties as assigned.
Job Requirements
Education / Training / Experience
  1. Diploma or equivalent.
  2. Min. 5-6 years of experiences to be considered for Senior Executive Assistant.
  3. Computer literacy skills - MS Word, MS Excel and PowerPoint.
  4. Prior experience with health‑care related areas are preferred.
