Senior / Associate Executive, Biomedical Engineering

Overview

Provide administrative and logistic support for BME team to ensure smooth operation of the department. Manage documentation and contracts registry for BME team to ensure proper record keeping and monitoring of key timelines and deliverables.

Responsibilities
  • Review correspondences to ensure that they are forwarded to the relevant parties within the department in a timely manner.
  • Manage BME hotline and log requests into BME Asset Management System (AMS) for proper activation of relevant engineering staffs.
  • Register or de-register medical device to BME AMS after device is commissioned or de-commissioned.
  • Perform all filing and organization of reports, documents and exchanges with other departments and external agencies.
  • Raise purchase request form for spare part and contract services.
  • Verify and process invoices to ensure timely payment.
  • Manage BME store and track spare parts and accessories movement to ensure accuracy and prompt replenishment.
  • Maintain record for hospital equipment license application and renewal.
  • Coordinate and control office supplies of the department and ensure no disruption to administrative activities due to shortage of office supplies.
  • Record staff time-off and training information.
  • Plan and coordinate departmental meetings including meeting minutes taking.
  • Maintains confidentiality of information and prevent breach of confidentiality.
  • Work closely with OSG team to support procurement activities and related projects for Hospital Opening.
  • Perform all other tasks and duties as directed by Head, BME.
Qualifications

Education / Training / Experience

  • Preferable diploma of business qualification or equivalent
  • At least 2 years’ of relevant experience for an Associate Executive position
  • At least 5 years’ of relevant experience for a Senior Associate Executive position

  • Good interpersonal skills, an eye for detail and high level of initiative. Able to communicate effectively to different stakeholders with diverse backgrounds.
  • Familiar with Microsoft office.

Others

  • Required to be activated back on site during pandemic when necessary.
