  • Manage corporate administration, governance processes, contracts, approvals, records and internal controls.
  • Oversee financial administration of grants and funded programmes, including budgets and expenditure.

Job description

co11ab is Singapore's first biomedtech incubator located within Novena Health City.

Established through a tripartite partnership between NTU, A*STAR and NHG, co11ab accelerates the translation of biomedical and healthcare innovations by connecting startups with clinicians, researchers, investors, industry partners and healthcare institutions.

As a collaborative innovation hub, co11ab provides access to laboratories, makerspaces, clinical expertise, strategic partnerships and commercialisation opportunities, enabling startups to progress from concept and prototype development through clinical validation and market adoption.

Reporting to the Deputy Director, the Senior Assistant Manager is responsible for co11ab's finance, corporate administration and governance functions, providing the organisational backbone that enables the incubator, its programmes and ecosystem activities to operate effectively.

The role works closely with management, startup members, founding partners, institutional stakeholders and service providers to ensure sound financial management, responsive corporate services and strong operational governance.

co11ab operates with the agility and pace of a startup. The role therefore requires a highly independent, resourceful and hands‑on individual with excellent communication and stakeholder management skills, who can take ownership of issues and drive them through to completion with minimal supervision.

Success in this role will be measured by sound financial management, strong governance and corporate controls, timely resolution of financial and administrative matters, effective stakeholder relationships, and continuous improvement in organisational efficiency.

Key Responsibilities
Finance & Corporate Management
  • Lead annual budgeting, forecasting, financial planning, management reporting and variance analysis.
  • Monitor revenue, expenditure, cashflow, budget utilisation and financial sustainability, and provide management with clear insights and recommendations.
  • Oversee invoicing, accounts receivable, payments and related financial processes, working with relevant corporate functions to ensure timely resolution of issues.
  • Coordinate year-end financial activities, audits and follow-up actions.
Governance, Grants & Administration
  • Manage corporate administration, governance processes, contracts, approvals, records and internal controls.
  • Oversee the financial administration of grants and funded programmes, including budgets, expenditure, claims, utilisation and supporting documentation.
  • Support management with financial and operational information for Executive Committee, Steering Committee, funding agencies and other governance requirements.
  • Manage procurement administration and corporate service providers, ensuring appropriate controls, documentation and cost effectiveness.
Membership & Stakeholder Management
  • Manage the financial, contractual and corporate administrative aspects of the co11ab membership lifecycle, working closely with the Ecosystem Operations & Engagement and Laboratory & Facilities Operations teams.
  • Build effective working relationships with startup members, founding partners, institutional stakeholders, funding agencies and service providers.
  • Serve as a key point of contact for finance, contractual and corporate administrative matters, communicating requirements clearly and practically.
  • Proactively resolve issues, recommend solutions and ensure appropriate follow‑through while balancing member, organisational and institutional needs.
Corporate Operations & Process Improvement
  • Develop and maintain dashboards, trackers, SOPs and reporting systems that provide management with visibility of financial and operational performance.
  • Review and improve workflows, processes and controls to strengthen efficiency, governance and organisational resilience.
  • Identify financial or operational risks and gaps early and drive practical solutions.
  • Establish scalable ways of working as co11ab's membership, programmes and ecosystem activities grow.
  • Work collaboratively across the co11ab team to support broader organisational and ecosystem priorities.
  • Represent co11ab professionally in relevant stakeholder discussions and engagements.
  • Contribute beyond traditional functional boundaries where required, reflecting the hands‑on and entrepreneurial nature of a lean team.
Qualifications & Experience
  • Bachelor's degree in Finance, Accounting, Business Administration, Management or a related discipline.
  • 7-10 years of relevant experience in corporate services, finance operations, business operations, administration or a related function.
  • Strong experience in budgeting, forecasting, management reporting, financial analysis and corporate administration.
  • Experience working across multiple stakeholder groups and organisational functions; exposure to startups, innovation, healthcare, research, higher education or the public sector is advantageous.
  • Excellent written and verbal communication, stakeholder engagement and relationship management skills, with the confidence to engage startup founders, senior management and institutional stakeholders.
  • Highly independent, self‑directed and resourceful, with strong judgement and the ability to take ownership and drive matters through to completion with minimal supervision.
  • Proactive, hands‑on and adaptable, with the ability to manage multiple priorities and thrive in a lean, fast‑paced startup and innovation environment.
  • Strong analytical, organisational and problem‑solving skills; proficiency in Microsoft Office, particularly Excel and PowerPoint.
