The Senior/Administrative Associate provides administrative and operational support, including overseeing office operations, coordinating corporate travel, and covering the reception area when required.
Responsibilities:
1. Administrative & Office Support
- Provide administrative assistance to the Directors’ Office and management teams as required
- Manage document preparation, filing, scheduling, and record maintenance, as well as administrative processes such as expense claims and vendor invoicing
- Manage and support daily office operations, including office supplies, mail and courier handling, and gifting arrangements
- Liaise with service providers for insurance, and event planning
- Ensure the office environment remains professional, organized, and conducive
- Coordinate meeting logistics, including room bookings, catering, and equipment setup
- Assist in organizing corporate events and private functions for Directors
- Arrange corporate travel, including flights, accommodation, transportation, and visa applications
- Conduct fare and rate comparisons to ensure cost efficiency and compliance with company policy
- Maintain and update travel logs, bookings, and related documentation
2. Communication & Coordination
- Serve as the key contact for administrative and operational matters
- Support internal communications and coordinate across departments
- Uphold confidentiality and professionalism when handling sensitive information
3. Reception Coverage (when required)
- Manage front desk operations to ensure professional handling of calls, guests, and deliveries
- Maintain a welcoming and professional corporate image for all visitors and callers
Requirements:
- ITE, Diploma, or Bachelor’s degree in Business Administration or a related field
- Minimum 1-3 years of relevant administrative experience
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Experience in corporate travel coordination and covering front desk operations would be advantageous
- Excellent communication and interpersonal skills
- Strong organizational skills with attention to detail and the ability to multitask effectively
- Responsible, adaptable, and able to work independently under minimal supervision
