Administrative Coordination and Meeting Management
- Maintain and update comprehensive clinical staff rosters, including leave schedules and on-call arrangements for clinicians, administrators, and allied health professionals
- Coordinate and manage logistics for regular clinical and leadership meetings, including scheduling, room bookings, and follow-up actions
- Manage complex calendars for leadership team, ensuring efficient time management
Training and Development Support
- Coordinate training plans with internal stakeholders and external vendors for staff
- Manage training records, track Continuing Professional Education (CPE) points, and facilitate CPE point applications
- Document and report on training programs and progress
- Process EPIC system access requests for staff
Office and Facility Management
- Liaise with Facility Management, vendors, and CIFO to address and resolve office maintenance issues promptly
- Process monthly bills and claims, ensuring timely submission for payment
- Conduct comprehensive office orientations for new hires, including safety and security briefings
- Manage office access control for staff across locations
- Support weekend community health events as needed
Job Requirements
- Min Diploma in Secretarial / Business or similar w min 3 yrs of relevant secretarial experience, preferably in healthcare/public sector
