Position: Secretary / Personal Assistant
About the SFO
We are a Singapore-based SFO that executes the principal’s investment activities and provides supporting services to select entities. The SFO operates in Investment, Consulting, Property Management, Concierge, and Finance.
Key Responsibilities
- Executive Support – schedule meetings, calls, and appointments; prepare agendas, briefings, minutes and track action items; manage correspondence, filing systems and document control; liaise with clients, partners and service providers with professionalism and discretion.
- Translation & Communication – provide real‑time Vietnamese‑English interpretation during meetings and calls; translate documents, emails and presentations accurately and promptly; ensure tone and terminology reflect business and cultural context.
- Office & Project Coordination – maintain contact databases and project trackers; coordinate meeting, event and travel logistics; support research, data gathering and vendor management.
- Document & Technology – create and maintain spreadsheets, reports, dashboards and presentations; maintain shared drives, templates and document version control; utilise productivity tools such as Excel, Google Sheets, PowerPoint, Google Slides, calendar and task/project trackers to streamline workflows.
- Other – manage real‑estate acquisition, asset improvement, leasing and sale; coordinate travel, plan events, manage household matters and provide day‑to‑day support; assist in maintaining a strong team culture and smooth operations; assist in daily operations of a wide range of business activities; promote and protect interests of the company; perform other ad hoc duties.
Qualifications
- Bachelor’s degree preferred, or equivalent experience.
- 3+ years in an executive assistant/secretary/personal assistant role; family office, finance, legal or professional services experience is a plus.
- Native or near‑native Vietnamese and fluent English (written and spoken); proven translation/interpretation capability.
- Strong computer skills: MS Office/Google Workspace (Excel, Sheets, PowerPoint, Slides, Word, Docs), calendar and email management; familiarity with task/project tools (Trello, Asana, Notion) is a plus.
- Excellent organisation, attention to detail and time management; able to prioritise and meet deadlines.
- Strong interpersonal skills; professional demeanour with clients and stakeholders.
- High level of integrity, discretion and confidentiality.
- Proactive problem‑solving and follow‑through.
- Clear written and verbal communication.

Work Conditions
- On‑site with occasional off‑site meetings; some flexibility required for time‑sensitive matters.
