Job summary

A healthcare staffing agency in Singapore is seeking an experienced Administrative Coordinator. Job Description:

Administrative Coordination and Meeting Management

Maintain and update comprehensive clinical staff rosters, including leave schedules and on-call arrangements for clinicians, administrators, and allied health professionals

Coordinate and manage logistics for regular clinical and leadership meetings, including scheduling, room bookings, and follow-up actions

Manage complex calendars for leadership team, ensuring efficient time management

Training and Development Support

Coordinate training plans with internal stakeholders and external vendors for RHSO staff

Manage training records, track Continuing Professional Education (CPE) points, and facilitate CPE point applications

Document and report on training programs and progress

Process EPIC system access requests for staff

Office and Facility Management

Liaise with Facility Management, vendors, and CIFO to address and resolve office maintenance issues promptly

Process monthly bills and claims, ensuring timely submission for payment

Conduct comprehensive office orientations for new hires, including safety and security briefings

Manage office access control for staff across locations

Support weekend community health events as needed

Job Requirements: Min Diploma/Degree in Secretarial / Business or similar w min 3 yrs of relevant secretarial & Calendaring experience, preferably in healthcare/public sector
