Job Responsibilities
- Process and verify purchase orders to suppliers, ensuring accuracy of item details, pricing, and delivery terms.
- Coordinate delivery schedules between customers and suppliers, including arranging logistics and confirming successful handovers.
- Prepare and submit proof of purchase such as software licenses, warranty certificates, or delivery acknowledgements to customers.
- Track and update estimated delivery dates (ETA) from suppliers and communicate any changes or delays to customers promptly.
- Prepare renewal quotations for existing customers, including software license, support, and maintenance renewals.
- Follow up on payments from customers, particularly for projects requiring 100% downpayment before order processing.
- Maintain accurate and organized records of quotations, purchase orders, deliveries, and renewals using Excel and shared folders.
- Handle daily email correspondence professionally with customers, suppliers, and internal teams.
- Provide administrative support to the sales and project team to ensure smooth operations.
Requirements
- O-Level/Diploma and 1-2 years of experience in sales coordination or purchasing (IT background preferred).
- Proficiency in Microsoft Excel and strong organizational skills.
- Ability to manage multiple tasks, work both independently and in a team, and thrive in a fast-paced environment.
