Job summary

A leading company in Singapore is looking for a candidate to handle customer interactions, quotations, and order processing. The ideal applicant should have at least a diploma or equivalent experience and demonstrate strong communication skills. Entry-level applicants are welcome as training will be provided. This role offers regular hours from Monday to Friday.

Job description
Job Responsibilities
1. Customer Interaction
  • Serve as the primary point of contact for customer inquiries.
  • Review and respond to RFQs (Requests for Quotation) accurately and promptly, referencing inventory availability and lead times.
  • Maintain strong, professional client relationships to ensure satisfaction and repeat business.
2. Quotation and Order Processing
  • Prepare and issue quotations based on technical specifications and stock availability.
  • Process and manage sales and purchase orders promptly and efficiently.
  • Monitor order status to ensure on-time delivery and provide updates to customers, including monitoring vessels’ ETA and communicating with vessel agents to ensure smooth operations.
3. Sales and Service Coordination
  • Liaise with the Sales and Service teams to ensure accurate identification and quoting of required spare parts.
  • Support after-sales activities, including handling order adjustments or warranty claims.
  • Coordinate with the logistics team for efficient dispatch and delivery arrangements.
4. Administrative and Documentation Tasks
  • Maintain accurate and up-to-date records of quotes, orders, and customer interactions in the ERP/CRM system.
  • Generate and compile regular sales reports, stock status updates, and performance metrics.
  • Ensure compliance with internal processes and documentation standards.
  • Prepare and maintain service job attendance lists accurately and promptly.
5. Technical Product Knowledge
  • Stay updated on product specifications and assist with basic technical queries.
  • Attend training to support product understanding and customer service.
Job Requirements
  • Candidate preferably possesses at least a Diploma or its equivalent. Otherwise, experience rather than formal education can also compensate and is a key requirement.
  • Entry-level individuals are welcome to apply, as training will be provided.
  • Candidates with experience in industrial sectors will be an added advantage.
  • Regular hours, Monday–Friday.
  • English literacy is a MUST.
  • Possess good communication, coordination and writing skills.
  • Possess good computer skills.

  • While after-office hours work is generally not expected, the candidate must be willing to assist during urgent situations when required.
