Job summary

A leading equipment company in Singapore is seeking a Sales Operations Coordinator to manage sales order processing and logistics coordination. The candidate must have a diploma in Business or related fields and be bilingual in English and Chinese. Responsibilities include coordinating with various departments, responding to customer inquiries, and managing documentation. Fresh graduates are welcome. Job description
Responsibilities
  • Sales Operations & Order Processing
    • Accurately process sales orders and ensure all required information is complete.
    • Maintain and update customer databases, sales records, and logistics documentation.
    • Prepare sales-related documents such as quotations, purchase orders, invoices, and sales reports.
  • Cross Department Coordination
    • Coordinate with logistics, warehouse, and finance teams to ensure timely order fulfilment and delivery.
    • Assist the finance department with invoice issuance, billing reconciliation, payment tracking, and credit limit monitoring.
  • Logistics & Documentation
    • Coordinate end-to-end logistics activities including inbound/outbound shipments, warehousing, and transportation.
    • Track shipment status and proactively resolve any delays or issues.
    • Prepare shipping/export documents (commercial invoice, packing list, bill of lading, customs declarations) and ensure compliance with regulatory requirements.
  • Customer Service
    • Respond promptly and professionally to customer enquiries via phone and email.
    • Provide after-sales support and maintain good customer relationships.
  • General Administrative Support
    • Handle filing, photocopying, document management, and correspondence.
    • Support the sales and operations team with ad-hoc tasks.
Requirements
  • Diploma or above in Business, Sales, Logistics, or related fields.
  • Bilingual proficiency in English and Chinese (to communicate with Chinese-speaking customers and suppliers), proficient in MS Office (Excel, Word, PPT, Outlook).
  • Strong organizational skills with attention to detail and accuracy, customer-oriented mindset with good communication and interpersonal skills.
  • Able to work independently and multi-task in a fast-paced environment.
  • Relevant work experience is preferred, fresh graduates or candidates with no prior experience are also encouraged to apply.
