SALES ADMINISTRATION OFFICER

Established in 2015, 52TOYS has rapidly become a significant player in the collectible toy market, offering a diverse range of products that appeal to enthusiasts of all ages. These includes figures, action figures, wind‑up toys, mecha and model kits, plush toys, and derivative merchandise. 52TOYS is present around the world.

As a Sales Administration Officer at 52TOYS, your role will involve supporting business operations in Singapore and Malaysia. You will be responsible for managing various administrative tasks to help ensure the efficient functioning of the sales operations.

What you'll be doing
Sales Administration
  • Receive, process, and track sales orders through phone, email, and online systems, ensuring all information is accurate and complete for direct retail stores, online, and B2B customer channels.
  • Prepare and validate sales quotations, invoices, and related documents for key account B2B customers.
  • Maintain and update customer records, sales orders, activities, and payments within the B2B customer channel.
  • Liaise with internal departments and the China headquarters, including logistics and production, to ensure timely order fulfillment and delivery, particularly with new product launches each month.
  • Assist in gathering sales data from stores and developing sales forecasts and reports in collaboration with the retail management on all sales‑related matters with the China headquarters and local logistics providers.
  • Provide customer service by addressing inquiries, resolving issues, and offering after‑sales support.
Office Administration
  • Organise payment systems and manage both physical and digital filing systems and databases to ensure compliance and facilitate easy access to records.
  • Review, verify, and process vendor invoices and expense reports in accordance with company financial policies.
  • Match invoices to purchase orders and receiving documents, investigating and addressing any discrepancies.
  • Reconcile vendor statements and resolve outstanding balances or issues with suppliers.
  • Maintain accurate vendor records and ensure that all documentation, including subscription plans and insurance certificates, is up to date.
  • Other administrative tasks as assigned.
What we're looking for
  • At least 3 years of experience in sales administration or customer service
  • Strong organisational and time management skills, with the capacity to multitask and prioritise tasks effectively
  • Excellent verbal and written communication and interpersonal skills
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with accounting software (e.g. Oracle NetSuite), along with basic knowledge of accounting.
  • Ability to work collaboratively within a team and contribute to a positive work environment.
  • Strong attention to detail and commitment to accuracy.
