Job Summary
We are seeking a detail-oriented and organized Sales& Administrative Support to assist both the sales and production teams. This role plays a critical part in ensuring accurate order processing, smooth coordination between departments, and timely communication with customers and internal stakeholders.
Key Responsibilities
Sales Administration
- Prepare and process sales quotations, sales orders, and purchase orders
- Maintain and update customer records in CRM/ERP systems
- Handle customer communication regarding order status, pricing, and delivery schedules
- Track orders and follow up on open items with customers or sales representatives
Manufacturing & Production Support
- Issue and update production work orders
- Coordinate with production planners and supervisors regarding job progress
- Maintain job folders, drawings, and revision control records
- Support inventory checks and material tracking
- Update production schedules and monitor job completion
Cross-Functional Support
- Serve as a liaison between Sales, Production, Planning, and Logistics
- Support shipping documentation and delivery coordination
- Assist with quality documentation, reports, and records
- Ensure document accuracy and version control
Job Requirements
- Prior experience in sales administration, manufacturing support, or an operations role preferred
- Familiarity with ERP/MRP systems and CRM software
- Strong computer skills (Microsoft Excel, Word, Outlook, Google Workspace)
- Excellent organizational and time management skills
- Strong communication and problem-solving abilities
- Ability to handle multiple tasks in a fast-paced environment
- Basic understanding of manufacturing processes is an advantage
Preferred Skills (Good to have but not a must)
- Experience handling technical drawings or specifications
- Inventory or production scheduling exposure
- Knowledge of quality control processes and documentation
- Good customer service mindset
