Job description

Working hours: Mon to Thur (8.30am to 5.45pm) and Fri (8.30am to 5.15pm)

Salary: S$3000- S$4000

Location: West

Duration: 1 year contract (extendable / convertible)

KEY RESPONSIBILITIES
  • Assist the Manager (Research) in overseeing research projects and grants, including budget management, allocation of student assistants, and processing payments.
  • Ensure all research projects comply with regulatory and funding agency requirements.
  • Work closely with the Manager (Research), faculty members, and other departments to ensure effective project management and successful completion.
  • Process grant administration requests, track changes and expenses, and maintain project reconciliation spreadsheets.
  • Develop and maintain strong relationships with funding agencies and external partners.
  • Prepare progress reports, final reports, and other documentation required by funding agencies.
  • Compile, maintain, and manage records and filing systems for research grants.
  • Update standard operating procedures (SOPs) to reflect changes in regulatory requirements and best practices.
  • Provide administrative support to the Associate Chair of Research, including scheduling appointments, managing calendars, and organizing meetings.
  • Assist in preparing presentations, reports, and other materials for meetings and presentations.
  • Perform other administrative tasks as assigned by the Manager (Research) and Associate Chair of Research.
COMPETENCIES AND QUALIFICATION REQUIREMENTS
  • Master or Bachelor’s degree, preferably with a minimum of 3 years of experience in research administration, including budget and grant management.
  • At least 3 years of experience in research administration and providing executive-level administrative support.
  • Proficiency in MS Office Suite and other automation software.
  • Excellent communication skills with the ability to work effectively with a diverse range of stakeholders.
  • Highly organized and meticulous, with strong attention to detail.
  • Capable of prioritizing tasks effectively and managing multiple responsibilities simultaneously.
