Overview

Role Overview: This position is responsible for managing both digital and physical records, supporting operational processes, and ensuring smooth execution of records management activities. The role also involves assisting with system migration tasks, providing user support, and contributing to ad hoc projects to enhance overall efficiency.

Responsibilities

Records Management Operations

  • Maintain and organize digital and physical records in compliance with organizational policies.
  • Ensure accurate classification, secure storage, and timely retrieval of records.

User & Administrative Support

  • Respond promptly and accurately to user and administrative requests.
  • Provide first-level support for system-related issues and coordinate resolution.

System Migration Support

  • Assist with pre- and post-migration activities, including data validation and user acceptance testing.
  • Support operational needs during system transition phases.

Training & Communication

  • Conduct user briefings and training sessions on records management processes and system usage.
  • Prepare and update communication materials, user guides, and training documentation.

Project & Programme Support

  • Contribute to ad hoc projects and division-wide initiatives as assigned.
  • Provide secretarial support to management, including scheduling and documentation.

Other Duties

  • Perform any other division-related tasks as required.
Qualifications & Experience

Required Experience

  • Experience in records management (digital and/or physical).
  • Background in user support or administrative coordination.
  • Familiarity with IT systems and applications (basic operational level).
Skills & Competencies

Technical Skills

  • Diploma or Degree in Business Administration, Information Management, Records Management or a related field.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to learn and adapt quickly to new systems and tools.

Soft Skills

  • Strong service orientation and user-centric mindset.
  • Detail-oriented with the ability to anticipate needs and plan ahead.
  • Excellent communication and interpersonal skills.
