Job summary

A leading recruitment agency in Singapore is looking for a Front Desk and Administration Manager to oversee daily operations, welcome visitors, and provide administrative support to the CEO. The ideal candidate should have at least 3 years of relevant experience and be proficient in MS Office. This role requires strong communication skills and the ability to work independently.

Qualifications

  • Minimum of 3 years’ experience in the job.

Responsibilities

  • Greet and welcome visitors.
  • Answer and direct incoming phone calls and emails.
  • Maintain a neat and organised reception area.
  • Assist in day-to-day administrative work of Facilities Management.
  • Source competitive quotations for facility improvements.
  • Conduct regular site inspections.
  • Manage vendors/contractors and cleaning services.
  • Provide admin support to Group CEO.

Job Description
Front Desk Management
  • To greet and welcome visitors
  • To answer and direct incoming phone calls and emails to the appropriate personnel
  • To maintain a neat and organised reception area.
Facilities Management
  • To assist in the day-to-day administrative work of the Facilities Management
  • To source for competitive quotations in the supplier selection process for facility improvement, maintenance, upgrading and repair works
  • To conduct regular (weekly) site inspections. Supervise vendors and contractors to ensure projects are completed within stipulated timeline and budget and all contract obligations and specification are fulfil
  • To manage as a coordinator point between the Office and vendors/ contractors
  • To manage outsource vendors on office cleaning services
  • To ensure cleaning services provider provide the service in accordance to Office expectation.
Administration
  • To provide admin & liaison support to Group CEO
  • In addition, to support general administrative & site maintenance duties
  • To be responsible for rental, purchase and maintenance of office equipment
  • To assist in stationery stocking, office equipment and pantry supplies
  • To assist in administration of flight, hotel and transportation booking
  • To support ad-hoc duties, projects and coordinate company activities as assigned.
Requirements
  • Higher Nitec / O level / Diploma in Business Administration or equivalent qualification
  • Minimum have 3 years’ experience in the job
  • Proficient in MS Office, Excel and PowerPoint
  • Good communication skills
  • Good team player and customer oriented
  • Can work independently with minimal supervision.
