Job summary

A well-known Asset Management firm in Singapore is seeking a skilled Office Manager to oversee front desk operations, coordinate meetings, and manage office supplies. The ideal candidate has over 5 years of reception or administrative experience in the Financial Services sector and exhibits exceptional organisational and customer service skills. A strong familiarity with Microsoft Office and proactive communication is essential for success in this role.

Responsibilities

  • Greet and assist all visitors and clients professionally.

  • Handle incoming mail and deliveries promptly.
  • Manage office supply inventory and place orders as required.
  • Serve as point of contact with building management and vendors.

Job Description
  • Greet and assist all visitors and clients in a professional and courteous manner.
  • Oversee front desk operations, including answering and directing incoming calls and managing general enquiries.
  • Coordinate meeting room reservations and ensure all meeting spaces are clean, organised, and properly equipped.
  • Handle incoming mail and deliveries, including receiving, sorting, and distributing items promptly.
  • Handle the onboarding process for guests and new employees, such as issuing visitor passes and liaising with building security.
  • Monitor and manage office supply inventory, placing orders when required.
  • Serve as the main point of contact with building management and external vendors for office maintenance and facility matters.
  • Provide additional administrative support as needed to the Office Manager and Singapore leadership team.
The Successful Applicant
  • Has 5 years of reception or administrative experience within Financial Services industry.
  • Strong organisational and multitasking abilities.
  • Excellent business acumens and stakeholder management skills.
  • Exhibits excellent customer service, a proactive approach, and consistently positive demeanour.
  • Proficiency in Microsoft Office and Concur systems.
  • The ability to maintain confidentiality and handle sensitive information.
  • Able to onboard on Jan 2026.
