Responsibilities
1. Documentation & Compliance
- Prepare and maintain vessel documentation (e.g. DMLC-II, SOPEP/SMPEP, BWMP, CSR, ISSC, SSP).
- Ensure SMS manuals, records, and emergency contact lists are updated and properly controlled.
- Maintain external audit files, track corrective actions, and assist in audit preparation.
2. QHSE Data Management & Reporting
- Maintain and update databases for incidents, injuries, and near-misses.
- Compile monthly QHSE statistics, PSC reports, KPI data, and safety award nominations.
- Collate and archive emergency drill records, safety seminars, and meeting minutes.
- Support preparation and recordkeeping for the annual SMS Management Review.
3. Operational & Administrative Support
- Manage QHSE correspondence and filing for vessels and group offices.
- Maintain QA stationery and technical library records.
- Support upkeep of ERT room inventory and ship onboarding statistics.
- Handle QHSE-related circulars, document dissemination, and invoice processing.
4. Security Support
- Maintain records of SSAS tests and assist the Company Security Officer in coordination with flags and authorities.
Qualifications
- Diploma or Bachelor’s Degree in Marine Engineering, Nautical Science, or related field. (Preferable)
- Minimum 1 year of experience in shipping or marine QA preferred.
- Basic understanding of vessel operations or maritime safety processes is an advantage.
- Proficient in Microsoft Excel, Power point & Outlook and familiar with Jibe or Isometrix will be a plus.
- Detail-oriented, proactive, and able to coordinate effectively with multiple stakeholders.
