Responsibilities and Duties of a Property Officer
Property Management & Maintenance
  • Oversee daily operations of assigned properties (residential, commercial, or mixed-use).
  • Conduct regular inspections to ensure the property's cleanliness, safety, and functionality.
  • Coordinate and supervise maintenance, repair, and renovation works with contractors and service providers.
  • Manage preventive maintenance schedules for building systems (e.g., M&E, HVAC, plumbing, fire safety).
  • Ensure compliance with building codes, safety regulations, and statutory requirements.
Tenant Relations & Service
  • Act as the primary point of contact for tenants regarding property-related issues.
  • Handle tenant feedback, complaints, and requests promptly and professionally.
  • Manage tenant onboarding and move-out processes, including unit handovers and inspections.
  • Support tenant retention by maintaining high service standards and fostering good relationships.
Leasing & Occupancy Management
  • Support lease administration — preparing documents, tracking renewals, and ensuring timely rent collection.
  • Maintain accurate tenancy records and monitor lease expiry and renewal timelines.
Financial & Administrative Duties
  • Prepare and monitor basic property budgets, operating expenses, and service charge accounts.
  • Review and verify vendor invoices and ensure timely payment processing.
  • Support cost-saving initiatives without compromising property standards.
Vendor & Contractor Management
  • Source, evaluate, and liaise with vendors, contractors, and service providers.
  • Monitor contractor performance and ensure compliance with service level agreements.
  • Conduct site meetings and review maintenance schedules and work progress.
  • Report and follow up on incidents or accidents occurring on the property.
Reporting & Communication
  • Prepare and present regular reports on property condition, financial performance, and tenant issues.
  • Communicate effectively with property owners, management, and tenants.
  • Provide recommendations to enhance property value and operational efficiency.
