Job summary

A staffing services company in Singapore is seeking a Project Document Controller to manage and maintain the document system for project documentation including construction and vendor documentation. Responsibilities
  • As the Project Document Controller, this position is to manage and maintain the document system and records (both hardcopy and softcopy) for all project documentation inclusive of the construction, vendor and C&Q documentation.

  • Responsible to ensure that the documentation is accurate, up-to-date and accessible to authorized personnel. Require to work with various departments to support project documentation needs and ensure documentation meets compliance requirements.

  • Responsible for the implementation and maintenance of documentation system and records onsite.

  • Ensure that all documents are properly categorized, stored and archived.

  • Responsible for the distribution, retrieval and archival of documents to and from project team, contractors and vendors.

  • Perform his/her work in accordance and compliant with the approved project document control procedures and workflows.

  • Monitor the status of the documents to ensure they are current and properly maintained with correct revisions. Archive the outdated documents timely.

  • Review documents for accuracy, completeness and compliance with GDP standards.

  • Ensure that all documents meet the required formatting and quality standards.

  • Facilitate effective communication and collaboration by providing access to necessary documents.

  • Respond to document related inquiries and provide support to team members as needed.

  • Assist team members in using document management system and tools.

  • Develop and maintain user guides and training materials for document control processes.

  • Ensure the security and confidentiality of sensitive documents and handle with discretion.

  • Effective inter-departmental communication and collaboration.

  • Ensure compliance with industry standards, company policies, and regulatory requirements.

  • Support internal and external audits by providing necessary documentation and information.

  • Other work related to documentation control scope arranged by the Compliance and Qualification lead.

Qualifications
  • Diploma or above with relevant work experience in documentation control work.

  • Have experience in engineering industry to manage documentation with good communication and interpersonal skills.

  • Be proficient in operating Office software, and have used at least one type of document management software, Eg., Aconex.
