Overview

Project Coordinator for HeritageSG
Join HeritageSG (HSG) as a Project Coordinator and be the driving force behind successful projects. You'll orchestrate complex exhibitions, festivals, and heritage experiences from concept to completion, working with diverse teams to deliver impactful projects on time and within budget. Your expertise will ensure seamless project delivery across HeritageSG's dynamic portfolio.

What You'll Do

Your primary focus will be managing HSG’s Business Development Gallery Consultancy pipeline, coordinating projects across exhibitions and galleries, festivals and placemaking, heritage trails, digital interactives, archaeology, and publications. You'll serve as the central hub connecting creative vision with practical execution, whilst maintaining flexibility to support other HSG projects as organisational needs arise.

Key Responsibilities
  • Project Leadership: Plan and manage projects from initiation to completion, defining scope, milestones, deliverables, and tracking progress against agreed KPIs
  • Team Coordination: Work with curators, conservators, designers, fabricators, AV teams, and digital specialists to integrate content and technical requirements seamlessly
  • Operational Management: Coordinate logistics, installation processes, and collections care whilst maintaining comprehensive documentation
  • Procurement & Contracts: Manage vendor relationships, contracts, and procurement processes in line with public sector requirements
  • Stakeholder Engagement: Liaise with donors, partners, and community groups to ensure smooth project execution and strong relationships
  • Strategic Support: Contribute across HeritageSG's portfolio including publications, digital interactives, heritage trails, and educational programmes
  • Documentation & Reporting: Prepare project documentation, budgets, and evaluation reports with actionable insights and recommendations
The Ideal Profile
  • A degree in project management, arts management, history, heritage studies, or a related field is required.
  • 3 to 5 years of experience in project or events management in a museum, heritage, or cultural setting is preferred.
  • Strong organisational skills with the ability to manage multiple timelines, budgets, and vendors.
  • Clear written and verbal communication skills for preparing reports, briefs, and presentations.
  • Stakeholder management skills with donors, clients, partners, vendors, and community groups are required.
  • Knowledge of procurement, contract management, and risk frameworks in the public sector is an advantage.
  • Familiarity with GST treatment, audit requirements, and grant reporting is an advantage.
