A leading advisory firm in Singapore is seeking a candidate to support engineers and manage project documentation. Responsibilities include coordinating with teams, ensuring timely fulfillment of client requirements, and assisting in purchasing materials. The ideal candidate will have excellent organizational skills and attention to detail, contributing to smooth operational processes within the firm.
Provide support to engineers in compiling reports, letters, and drawings for submission.
Coordinate with engineering teams, clients, and contractors to ensure schedules are followed.
Ensure client’s requirements on the submitted documents are fulfilled in a timely manner.
Perform quality control and maintenance of documents (both electronic and hard copy) as per company procedures.
Scan and upload documents in the ‘Project Team’ SharePoint and ensure all documentation is discoverable and accessible.
Disseminate, monitor, and track all documents, ensuring proper version control and approval records.
Securely back up all documentation.
Assist in sourcing and purchasing materials or equipment as required for project needs.
Prepare purchase orders, obtain quotations, and liaise with suppliers to ensure timely delivery.
Maintain and update purchase records, supplier databases, and inventory tracking systems.
Support cost comparison, invoice verification, and coordination with the finance team for payment processing.
Carry out general administrative duties as and when required.
