Job summary

A leading offshore engineering firm in Singapore is looking for a Production Administrator with at least 5 years of experience in the Marine or Oil & Gas Industry. The role involves overseeing production staff, managing budgets, and providing administrative support to project teams. Strong organizational, communication, and project management skills are essential. Candidates must have a degree in Business Administration and proficiency in Microsoft Office applications. An attention to detail and ability to manage multiple tasks is crucial.

Job Responsibilities
  • Oversee and ensure the duties of Production and Project Admins/Clerks are performed diligently.

  • Monitor production staff movements and manage the Production Admin budget.

  • Provide budget guidance to the Head of Department (HOD).

  • Administer and implement changes in production operational guidelines and environments.

  • Create and maintain office systems, arrange monthly internal meetings, and liaise with other departments.

  • Support the Production/Project Management Team.

  • Welcome new staff and monitor daily attendance.

  • Take minutes for meetings and update staff allocation.

  • Prepare and issue correspondence letters, back charges, and violations to sub-contractors.

  • Consolidate budget proposals and department headcount.

  • Prepare and submit various rosters and schedules.

  • Ensure all reports are submitted accordingly and handle general office and yard matters.

  • Support and liaise with Project Admins on project-related matters.

  • Follow up on module load-out applications and project lessons learned.

  • Update document reference numbers as required.

Job Requirements
  • Degree / Diploma in Business Administration or equivalent.

  • Minimum 5 years’ experience as Production Administrator in Marine or Oil & Gas Industry.

  • With good organizational, communication, planning, project management, bookkeeping and time management skills.

  • Able to perform minutes writing and other writing skills.

  • Ability to multi-task, independent, interpersonal skills, good team player and resourceful.

  • Patient and Meticulous – attention for details.

  • Fundamental understanding of administrative practices in Marine or Oil & Gas Industry.

  • Well verse with Microsoft Office application.
