Job Summary:

The Procurement and Operations Executive plays a key role in ensuring the timely and cost-effective purchase of groceries and essential items for distribution. This role involves working closely with suppliers, managing inventory levels, and ensuring compliance with budget and donation guidelines.

Responsibilities:

  • Source and purchase groceries and household essentials in accordance with monthly distribution plans.
  • Obtain and compare quotations to ensure best value for money while maintaining quality.
  • Liaise with suppliers to negotiate pricing, terms, and delivery schedules.
  • Maintain good relationships with existing suppliers and identify new sourcing opportunities.
  • Work with warehouse team to align procurement with inventory levels and distribution timeline
  • Maintain up-to-date records of purchases, supplier contracts, and cost comparisons.
  • Plan/Prepare items list for distribution event.
  • Monitor and update inventory, avoid shortages or overstocking for warehouse and happy marts.
  • Provide regular reports on procurement status, supplier performance, and cost savings.
  • Work with Accounts to support timely payments and resolve discrepancies.
  • Support donation-in-kind (DIK) management, including tracking, sorting and integrating donated items into distribution plans.
  • Any other matters requested by the Operations Manager.
  • Take charge of the community marts

Requirement:

  • Minimum Diploma in Business Administration/Supply Chain Management.
  • 2 - 3 years of relevant work experience in procurement and supply Chain.
  • Process class 3 driving licence
  • Strong interpersonal skills and communication skills (oral and written).
  • Strong negotiation skills.
  • Able to work on weekend.
  • Passion for community service and social impact.
  • Ability to work independently and as part of a diverse team.
  • Proficient in Microsoft Office Tools.
