Job summary

A logistics and recruitment services firm based in Singapore is looking for a candidate to provide comprehensive logistics support. The role requires coordination of shipment arrangements, document management, and procurement administrative support. Candidates should have experience in procurement, sourcing, or supply chain management, preferably in the FMCG sector. Proficiency in Business Central or similar software is advantageous. Key Responsibilities
Logistics Support
  • Coordinate logistics arrangements for sea-freight, airfreight, and land shipments.
  • Monitor and follow up with forwarders and suppliers on ETAs, delays, adjustments, and shipment discrepancies.
  • Update shipment trackers and provide timely status updates to Procurement and relevant departments.
  • Verify, receive, and file all transport documents (invoices, packing lists, airway bills, bills of lading).
  • Assist buyers with delivery coordination and quantity confirmation when required.
Permit & Documentation
  • Prepare permit declaration documents and submit them to the authorised third-party agent for processing.
  • Ensure all permit submissions are completed accurately and on time.
  • Liaise with external permit vendors to ensure smooth and efficient declaration processes.
  • Maintain organised and accurate filing for all permit-related documentation.
Procurement Administrative Support
  • Process and upload Purchase Invoices (PI) accurately into the system.
  • Perform PO/AF-related tasks when required.
  • Conduct month-end checks for shipment and PI documentation.
  • Request revised invoices, credit notes (CN), and debit notes (DN) from suppliers when discrepancies arise.
  • Maintain accurate and well‑organised filing for all procurement documents.
Routine Follow‑Up & Cross‑Functional Support
  • Follow up with suppliers on required documents, shipment status, and outstanding clarifications.
  • Provide administrative support to Warehouse, Finance, Sales/CSO, and other departments on procurement‑related matters.
  • Highlight recurring issues or documentation discrepancies to the relevant buyer.
Compliance
  • Ensure the procurement team follow all statutory act, company policies and SOPs.
Job Specifications
  • Preferably has experience in procurement, sourcing, or supply chain management in FMCG or a related industry.
  • Proficient in Business Central or other Procurement Software is an advantage.
