Overview

The Procurement Executive (Inventory & Logistics) supports the Procurement Manager in overseeing end-to-end procurement, inventory management, logistics coordination, and project delivery. This role ensures timely and efficient execution of procurement projects, accurate stock management, and smooth logistics flow while maintaining compliance with internal SOPs, ISO 27001, and BizSAFE 3 standards. The ideal candidate should possess strong project management, communication, and coordination skills to handle multiple priorities across teams.

Responsibilities
Procurement Operations
  • Source, evaluate, and negotiate with vendors to obtain competitive quotations and best-value deals.
  • Prepare and process Purchase Requisitions (PRs) and Purchase Orders (POs) in line with approval workflows.
  • Track order status, follow up with vendors, and ensure timely delivery of goods or services.
Project Management
  • Support procurement-related project planning and execution to meet timelines and deliverables.
  • Collaborate with cross-functional teams (Sales, MIS, Project, and Finance) to align schedules and ensure smooth deployment.
  • Monitor progress, identify potential risks, and proactively resolve issues to keep projects on track.
Inventory Management
  • Maintain up-to-date inventory records of IT assets, office equipment, and consumables.
  • Conduct regular stock audits and reconciliations to ensure data accuracy and availability.
  • Coordinate with MIS and Project teams for deployment, tagging, and return of assets.
  • Oversee proper labeling, documentation, and storage of inventory items.
Logistics Coordination
  • Plan and arrange local and overseas deliveries, collections, and shipments.
  • Liaise with logistics partners and internal stakeholders to ensure smooth movement of goods.
  • Manage delivery documents, airway bills, and other shipment records.
Vendor & Documentation Support
  • Assist with vendor onboarding, collecting required forms, certificates, and bank details.
  • Maintain organized procurement records and trackers for audit and ISO compliance.
  • Ensure completeness and accuracy of supporting documents for all transactions.
Finance & Compliance Support
  • Coordinate with Finance on invoice verification, payment tracking, and reconciliation.
  • Ensure all procurement activities comply with ISO 27001 and BizSAFE 3 standards.
  • Support internal and external audits as required.
General / Ad Hoc Duties
  • Provide administrative and operational support to the Procurement Manager.
  • Perform other duties or assignments as required to support departmental objectives.
Requirements
  • Diploma or Degree in Business Administration, Supply Chain Management, or related discipline.
  • 4–6 years of relevant experience in procurement, logistics coordination, or inventory/project management.
  • Strong analytical, negotiation, and documentation skills.
  • Proficient in Microsoft Excel, Google Sheets, and procurement tracking tools.
  • Excellent project management, communication, and stakeholder coordination abilities.
  • Highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
