Location: Vision Exchange, Singapore
Working Hours: Monday–Friday, 8:00 AM – 5:00 PM

Personal Secretary & Admin Assistant
About the Role

We’re looking for a highly organized, dependable, and detail-oriented Personal Secretary & Admin Assistant to support the management team in day-to-day operations. The role requires someone who enjoys creating structure, keeping things on track, and ensuring smooth coordination between tasks, people, and timelines.

Key Responsibilities
Executive & Personal Support
  • Manage and maintain the boss’s calendar, meetings, and daily schedule clearly and efficiently
  • Track ongoing priorities, send timely reminders, and ensure deadlines are met
  • Handle calls, messages, and emails and summarize key points and action items
  • Prepare meeting notes, to-do lists, and follow-up reports
  • Assist with event coordination, travel planning, and basic personal errands when required
  • Uphold confidentiality and professionalism at all times
Administrative & Office Support
  • Maintain and update records, documents, and spreadsheets (Excel/Google Sheets)
  • Liaise with staff, vendors, and clients to support ongoing projects
  • Track and follow up on pending tasks to ensure completion
  • Assist in HR/admin work, interview scheduling, onboarding, attendance, and claims
  • Support day-to-day operational and office management needs
Requirements
  • Excellent organizational and communication skills
  • Able to simplify and structure information for clarity
  • Strong sense of responsibility and follow-through
  • Proficient in Microsoft Office / Google Workspace
  • Calm under pressure and able to handle multiple tasks independently
  • Prior experience as a Personal Assistant, Executive Secretary, or Admin Executive preferred
