Job summary

A leading jewellery company in Singapore is seeking a Personal Assistant to the Director. The ideal candidate will have a degree, 2-3 years of relevant experience, and excellent organizational and communication skills. Responsibilities include managing the Director's schedule, coordinating travel plans, and overseeing office operations. A positive attitude and the ability to handle confidential matters are essential. A Class 3 driving licence is preferred.

Qualifications

  • Tech-savvy and comfortable with digital tools like WhatsApp Business and Google Drive.
  • Ability to travel between offices as needed.

Responsibilities

  • Act as the primary point of contact for the Director’s schedule.
  • Coordinate domestic and international travel including visas.
  • Manage complex calendars and appointments.
  • Oversee office operations and greet visitors.
  • Assist with meeting coordination and minute-taking.

Personal Assistant to Director
  • Salary: $3,200 - $3,900
  • Working Days: 5.5 days
  • Working Hours: 8 hours

Qualifications and Requirements:
  1. Minimum Degree with at least 2–3 years’ experience in a similar capacity supporting senior management.
  2. Strong organizational and multitasking abilities with attention to detail.
  3. Excellent communication skills.
  4. Proficiency in MS Office / Google Workspace; tech-savvy and comfortable with digital tools example (WhatsApp Business, Google Drive).
  5. Ability to handle confidential matters and adapt quickly to changing priorities.
  6. Positive attitude, initiative, and ability to work independently with minimal supervision.
  7. Able to travel between offices on occasional basis when needed.
  8. Preferably with Class 3 driving licence and confidence to drive company vehicle when needed.
Executive & Personal Support:
  1. Act as the primary point of contact for the Director’s schedule, coordinating meetings, calls, and stakeholder communications.
  2. Arrange domestic / international travel, including flights, hotels, visas, and detailed itineraries tailored to preferences.
  3. Handle personal errands tasks, and liaise with vendors (e.g., repairs, reservations)
  4. Manage complex calendars, schedule appointments, and arrange travel (business & personal).
  5. Act as a gatekeeper for communications (email / phone), prioritizing urgency and confidentiality.
  6. Run errands, plan events, and handle ad-hoc personal tasks as required.
  7. Be available to accompany the Director when required for external meetings.
Office Administration:
  1. Manage office operations, including greeting visitors, handling mail, and coordinating deliveries.
  2. Oversee office supplies inventory, procurement, and vendor relations.
  3. Maintain filing systems (digital and physical) and ensure document organization.
  4. Assist with meeting coordination, including room bookings, agenda preparation, and minute-taking.
  5. Support HR with onboarding logistics (e.g., workstation setup, access cards).
  6. Support on recruitment activates jobs posting, shortlisting candidates.
  7. Support Admin Manager on employee data management.
