Qualifications

Job Summary

We are seeking an experienced and highly organized Personal Assistant to the Chairman to provide comprehensive administrative and secretarial support. The ideal candidate should be proactive, detail-oriented, and able to handle confidential matters with discretion. This role requires frequent overseas travel (approximately 50% or more of the time).

Key Responsibilities
  • Provide full secretarial and administrative support to the Chairman, including managing schedules, meetings, travel arrangements, and correspondence.
  • Prepare meeting agendas, take and distribute minutes, and follow up on action items.
  • Coordinate logistics and documentation for the Chairman’s overseas business trips and engagements.
  • Handle confidential and sensitive information with utmost discretion and professionalism.
  • Communicate and liaise with internal and external stakeholders across multiple time zones.
  • Support the Singapore office when the Chairman is away, reporting to the Vice President as required.
  • Perform other ad-hoc duties assigned by the Chairman or senior management.
Requirements
  • Bachelor’s Degree from a local or reputable overseas university.
  • Minimum 3–5 years of relevant experience as a Personal Assistant or Secretary, preferably supporting senior executives or Chinese management.
  • Excellent command of both written and spoken English and Mandarin to liaise effectively with Chinese-speaking stakeholders.
  • Strong proficiency in Microsoft Office applications and online meeting platforms (Zoom, Teams, etc.).
  • Excellent organizational, communication, and interpersonal skills.
  • Able to work under pressure, multitask, and adapt to fast-paced environments.
  • Must be willing and able to travel frequently (50% or more of the time), including on short notice.
  • Valid passport required.
  • Candidates with prior experience supporting Chinese executives and familiarity with Chinese business practices will be highly regarded.
