Position Summary
The Personal Assistant (PA) to the CEO provides high-level administrative and strategic support to ensure smooth executive operations, effective time management and seamless internal and external communication. The role demands discretion, exceptional organizational ability and foresight to anticipate the CEO’s needs in a dynamic, fast-paced environment.
Key Responsibilities
Executive Support
- Manage the CEO’s calendar, appointments, travel arrangements and daily schedule.
- Coordinate internal and external meetings, follow-ups and action items.
- Prepare presentations, reports, meeting minutes and briefing materials.
- Handle confidential and sensitive information with utmost discretion.
- Monitor and prioritize incoming communications (emails, calls, and documents).
Operational & Administrative
- Support the CEO in strategic and operational initiatives.
- Coordinate logistics for company events, board meetings, and senior management sessions.
- Track deadlines, projects and action items across departments.
- Maintain executive documentation, files and expense submissions.
- Liaise with internal departments to ensure follow-through and alignment on key deliverables.
Stakeholder Management
- Serve as the primary point of contact for key partners, clients and vendors.
- Manage and maintain the CEO’s network and relationship-building efforts.
- Draft and review correspondence and communications on behalf of the CEO.
Business Support
- Assist in preparing strategy decks, proposals and meeting packs.
- Conduct research and compile executive summaries or data reports as required.
- Support CEO in project tracking, execution monitoring and KPI reporting.
Requirements
- Diploma or Bachelor’s Degree in Business Administration or a related field.
- Minimum 5–6 years of proven experience supporting a Chairman, CEO or C-suite executive (preferably in the automotive or related industry).
- Excellent verbal and written communication skills.
- Strong organizational, multitasking and prioritization abilities.
- High level of professionalism, confidentiality and sound judgement.
- Proficient in Microsoft Office, Google Suite and business collaboration tools.
- Ability to work independently, under pressure and with tight deadlines.
- Strong analytical, problem-solving, and follow-through capabilities.
