This traineeship gives fresh graduates the opportunity to be part of Singapore Polytechnic’s Outbound Services team, which supports overseas programmes that broaden students’ horizons and prepare them with global perspectives. Beyond logistics and administration, you will also be involved in improving processes, streamlining workflows, and redesigning SOPs to make our operations more efficient and impactful. This role provides a unique blend of operational management and innovation, offering you hands-on experience while developing transferable skills in project management, stakeholder engagement, and continuous improvement.

Key areas of work and competencies:

  • Gain end-to-end experience in coordinating large-scale overseas programmes.
  • Build vendor and partner management skills through direct engagement with service providers.
  • Strengthen financial and administrative skills by supporting funding, expenses, and collections.
  • Develop process improvement and project management abilities through workflow enhancements and SOP redesign.
  • Enhance communication and stakeholder engagement skills when working with staff, students, and external partners.
What you will be working on
  • Coordinate student overseas programmes, including travel arrangements, accommodation bookings, and itinerary planning.
  • Liaise with vendors such as travel agents, accommodation providers, and insurers to secure quality services.
  • Support fund management by assisting with budgeting, expense tracking, and pre-trip fee collection.
  • Handle procurement processes for overseas programmes in line with institutional policies and requirements.
  • Contribute to process improvement initiatives, including reviewing workflows and helping redesign SOPs to enhance efficiency.
What we are looking for
  • Diploma and above, in any discipline, with strong interest in programme and operations management.
  • Strong organisational and project management abilities, able to manage multiple tasks effectively.
  • Good communication and interpersonal skills to engage with students, staff, and external stakeholders.
  • A proactive, detail-oriented, and adaptable mindset, with enthusiasm for improving processes and trying new approaches.
  • Proficiency in Microsoft Office applications and digital platforms.
