Job summary

ABOUT EQUAL

EQUAL is an IPC charity committed to transforming lives through Equine-Assisted Learning (EAL). We partner with therapy horses to deliver experiential learning programmes that empower children, youth, seniors, persons with special needs, and families. These programmes are designed to build social-emotional skills, resilience, and community connection.

Each year, we proudly serve hundreds of clients from schools, social service agencies, and healthcare providers across Singapore.

ROLE SUMMARY

As the Operations & Technology Associate, you will support the smooth functioning of EQUAL’s internal systems and operational workflows. This is a dynamic hands‑on role ideal for someone detail‑oriented, tech‑comfortable, and eager to contribute to a mission‑driven organisation. You will assist with planning and administrative tasks related to IT systems, data documentation, procurement, and operational coordination.

What this role is not
  • Not software engineering or advanced network administration (vendor‑managed).
  • Not on 24/7 IT call.
REPORTING & TEAM STRUCTURE
  • Reports to: Finance Manager
  • This role requires close collaboration with all departments at EQUAL.
  • Working pattern: On‑site 5 days/week; occasional Saturdays for events with time‑off‑in‑lieu.
KEY RESPONSIBILITIES
1. Operational Support & Coordination
  • Plan and support key activities (e.g., team‑building) and events within and outside of EQUAL.
  • Manage all office and administrative affairs at EQUAL.
  • Assist in maintaining internal calendars, booking systems, and operational documentation across departments within EQUAL.
  • Support coordination of service providers and vendors for facilities and IT maintenance.
  • Prepare and file service agreements, quotations, and procurement records.
2. IT & Systems Administration
  • Act as first point of contact for basic IT issues and liaise with external vendors for troubleshooting.
  • Track and update inventory of IT equipment and software licenses.
  • Support onboarding/offboarding processes for staff (e.g., email setup, access rights).
3. Data & Documentation Management
  • Maintain organised records including attendance logs, incident reports, and compliance documents.
  • Assist in compiling basic data summaries using spreadsheets for reporting purposes.
  • Ensure documentation is stored securely and in line with EQUAL’s policies.
4. Procurement & Budget Tracking
  • Support procurement processes by preparing purchase requests and tracking deliveries.
  • Reconcile receipts and assist with invoice processing.
  • Monitor expenditure against budget and assist with funder documentation.
5. Risk & Compliance Administration
  • Maintain safety documentation and assist in preparing materials for audits and inspections.
  • Support implementation of basic data protection practices (e.g., PDPA compliance).
  • Ensure operational SOPs are up‑to‑date and accessible.
QUALIFICATIONS & REQUIREMENTS
Education & Experience
  • Diploma in Business Administration, Information Systems, or a related field.
  • 0–2 years in operations/administration or systems support.
  • Confident with Google Workspace, spreadsheets and office software (e.g., Microsoft 365).
