Job description

The Operations Manager oversees the daily operations of all clinics to ensure compliance, service excellence, and operational efficiency. The role covers regulatory compliance, facilities and equipment management, people leadership, financial control, and continual improvement of patient experience and care delivery.

Key Responsibilities
A. Regulatory Compliance & Risk Management
  • Ensure compliance with all regulatory, licensing, and audit requirements.
  • Serve as Data Protection Officer (DPO) and uphold PDPA compliance.
  • Oversee Medisave and CHAS claims accuracy and audit readiness.
  • Maintain strong communication with regulators, auditors, and vendors.
  • Conduct periodic internal audits to ensure adherence to SOPs and standards.
B. Equipment, Facilities & Safety Management
  • Ensure clinics’ facilities and equipment are safe, functional, and well-maintained.
  • Plan and manage preventive maintenance, repairs, and upgrades with minimal downtime.
  • Consolidate and resolve facility and equipment issues reported by clinics.
  • Collaborate with vendors and landlords to ensure compliance with safety standards.
C. Clinic Operations Management
  • Implement and monitor company policies, workflows, and service standards.
  • Partner with dentists to ensure consistent, safe, and high-quality patient care.
  • Track operational, financial, and service metrics to drive performance improvements.
  • Oversee cash management, reconciliations, and AR/AP processes.
  • Manage procurement, inventory, and supplier contracts for cost efficiency.
  • Plan manpower and staff rosters to ensure smooth operations within budget.
  • Handle patient feedback and service recovery promptly and professionally.
  • Provide on-site operational support during staffing or technical issues.
  • Undertake special projects and assignments as required.
  • Lead, mentor, and develop clinic in-charge and staff to achieve performance goals.
  • Conduct training, coaching, and performance reviews to strengthen capability.
  • Foster a positive, service-driven, and accountable team culture.
  • Partner with HR in recruitment, onboarding, and employee relations.
  • Ensure clear communication between HQ and clinic teams to align objectives.
