Position Title: Operations & Integrator Manager

Reporting To: Managing Director (Founder)

Location: Silvester Legal LLC, Singapore

Type: Full-Time, Onsite

Role Overview (Growth-Oriented Leadership Role)

Silvester Legal LLC is a growing boutique law firm with a vision to become the leading SME-focused litigation and advisory firm in Singapore. We are implementing the Entrepreneurial Operating System (EOS) to scale efficiently, build accountability, and create an exceptional workplace culture.

The Operations & Integrator Manager will serve as the central coordination point across all business functions — HR, finance, administration, operations, and EOS implementation. This role is for someone who wants to take ownership, improve systems, and work closely with leadership to drive growth. You will both run the office day-to-day and ensure strategic traction across the firm.

This is not a passive administrative role — this is a leadership position suited for a proactive, mature, forward-thinking individual who wants to make a meaningful impact.

Key Objectives of the Role
  • Ensure the entire office functions smoothly with operational excellence.
  • Drive accountability, performance tracking, and process discipline across the firm using EOS principles.
  • Oversee finance operations with full visibility of cash flow, budgeting, and forecasting.
  • Support HR and talent development.
  • Serve as the “Integrator” to translate the Managing Director’s vision into action, ensuring things get done.
Core Responsibilities
1. Office Operations & Administration
  • Oversee daily operations of the office to ensure a productive, organized, and positive working environment.
  • Manage office supplies, facilities, pantry, vendor relationships, IT coordination, insurance, and compliance matters.
  • Coordinate with external service providers (marketing vendors, HR partners, auditors, banks).
  • Ensure the firm’s processes, checklists, and operational systems are maintained and continuously improved.
2. Finance Oversight & Strategic Reporting
  • Monitor cash flow, budgets, and financial performance.
  • Prepare monthly financial dashboards and projections for the Managing Director.
  • Track firm profitability, revenue collections, cost optimisation, and expense controls.
  • Work with accountants on full set of accounts, GST filing, and financial compliance.
  • Make recommendations on cash flow planning, cost efficiencies, and financial sustainability.
3. Human Resources & People Operations
  • Oversee HR functions including recruitment coordination, onboarding, leave tracking, staff welfare, training, and performance monitoring.
  • Ensure company policies are implemented consistently and aligned with firm culture.
  • Proactively identify gaps in manpower, morale, and productivity.
  • Serve as a point of contact for confidential staff matters.
4. Lawyer Productivity & Utilisation Monitoring
  • Track billable hours, utilisation rates, deadline compliance, and work allocation.
  • Ensure lawyers are neither underutilised nor overwhelmed.
  • Propose workload adjustments and departmental support allocation.
  • Produce weekly reports for the Managing Director on productivity and performance metrics.
5. Marketing Coordination (Non-Implementation Role)
  • Liaise with internal and external marketing teams to ensure campaigns and content are executed according to firm objectives.
  • Monitor leads, conversions, and marketing ROI.
  • Provide operational support for marketing events, webinars, or client initiatives.
  • Track marketing budgets and timelines.
EOS (Entrepreneurial Operating System) Integrator Responsibilities
  • Lead the Weekly Level 10 Meetings, ensuring each department is aligned and accountable.
  • Maintain and update Scorecards, Accountability Charts, and Quarterly Rocks.
  • Identify, prioritise, and resolve firm-wide issues efficiently.
  • Ensure execution of strategic plans set by the Managing Director.
  • Drive a culture of continuous improvement, discipline, and accountability.
  • Be the bridge between vision and execution — harmonising operations and keeping all functions aligned.
KPIs & Success Indicators
  • Office operates with 99% efficiency (no disruption, proactive issue resolution).
  • Cash flow visibility and stability with accurate forecasting.
  • Lawyer utilisation targets met consistently.
  • EOS Scorecard metrics are tracked and improved quarter over quarter.
  • Reduction in bottlenecks, improved staff morale, and measurable growth in firm performance.
  • Successful implementation of strategic initiatives with clear progress each quarter.

Experience & Skills
  • Minimum 5–7 years’ experience in office management, operations, or finance (legal or professional services environment preferred).
  • Strong finance background with ability to read and interpret financial statements.
  • High systems‑thinking ability — comfortable with processes, KPIs, dashboards, and operational metrics.
  • Skilled at coordinating people, managing timelines, and ensuring follow‑through.
  • Experience with EOS (or similar business operating system) is highly advantageous.
