The Operations Executive is responsible for managing and overseeing all day-to-day operational activities, ensuring that every project is completed efficiently, safely, and on time. This role requires strong leadership, communication, and problem-solving skills, as well as the ability to handle customers professionally and manage multiple projects under pressure.
Key Responsibilities
- Customer & Site Management
- Serve as the main liaison between clients and the company throughout the project.
- Provide excellent customer service, maintaining professionalism and responsiveness at all times.
- Handle client feedback, site issues, and ensure customer satisfaction upon project completion.
- Project Coordination & Scheduling
- Plan, create, and update daily project schedules for all ongoing and upcoming sites.
- Coordinate manpower allocation efficiently to achieve the shortest completion time with available resources.
- Ensure workers follow project timelines or complete works ahead of schedule.
- Submit daily progress updates to the Managing Director.
- Conduct materials calculation for each project based on scope and submit requirements to Admin for procurement.
- Track delivery and usage of materials to ensure proper planning and minimal wastage.
- Work closely with the Admin and Procurement departments to ensure smooth material flow to site.
- Site Supervision & Quality Control
- Carry out daily site supervision to ensure workmanship, cleanliness, and safety compliance.
- Inspect works for quality assurance and ensure standards meet company and client expectations.
- Address on-site issues promptly and ensure corrective actions are taken without delay.
- Troubleshooting & Problem Solving
- Handle on-site challenges effectively through strong analytical and troubleshooting skills.
- Anticipate potential delays or problems and make swift, practical decisions to maintain progress.
- Coordinate with Sales, Admin, and Management to resolve operational bottlenecks.
- Reporting & Administrative Duties
- Maintain accurate records of daily work progress, manpower allocation, and site documentation.
- Prepare weekly progress reports and improvement recommendations for management review.
- Support the MD in operational planning, follow-ups, and any ad-hoc duties assigned.
Requirements
- Minimum Diploma or relevant experience in Operations, Construction, or Project Management.
- Must possess a valid Class 3 driving licence and own a motorbike for work. (Transport allowance will be provided.)
- 6-day work week (Monday to Saturday, 9:00 AM – 6:00 PM); Sunday OT may be required depending on project schedule.
- Proficient in Microsoft Word and Excel for daily reporting, scheduling, and documentation.
- Strong customer handling, interpersonal, and communication skills.
- Fluent in English; proficiency in Mandarin and Malay to effectively communicate with Mandarin/Malay-speaking clients is a bonus.
- Excellent problem-solving and troubleshooting abilities.
- Highly organized, able to multi-task, and capable of working well under pressure.
- Positive working attitude and keen to learn and grow with the company.
