Job Summary
Operations & Events Executive
We’re looking for a driven Operations & Events Executive to take the lead in running day-to-day operations while handling and setting up of client’s events in our co-working space. In this dynamic role, you’ll be the engine behind smooth logistics, exceptional hospitality, and unforgettable member experiences.
Key Responsibilities
Facility Management
- Handling of all member issues and feedback regarding the facility, including Internet and printer
- Monitoring email & emergency phone number (IT/maintenance/cleanliness, general feedback)
- Member exit checks
- Management of Complaint Log
- Maintenance of the co-working space
- Management of contracts with various vendors such as IT vendor, water filter systems etc.
- Liaising with Building Management
Accounts Receivable
- Assisting finance department
- Daily ad-hoc invoicing of the business
- Bad debts recovery
- Managing of finance email
Events Management
- Liaising with clients on set up requirement and AV testing
- Setting up of event spaces, working together with Office Maintenance Assistant
- Document management
- Maintenance of AV facilities (Projector, microphones and speakers)
Key Performance Indicators
- Adherence to SOP timeline & deliverables
- Reduction in number of member issues escalated to management level
- Meet or exceed customer satisfaction level
- Maintenance or reduction of annual operating expenditure
Team Structure
Reporting to the Centre Manager
Working together with Member Relations Executives, Office Maintenance Assistant and Group Finance Controller
Working Hours
0830 - 1730 hrs (Monday to Friday)
Salary
Full time: $2.5k - $4k (negotiable, depending on experience and qualifications)
