Position Summary
The Operations Executive will provide critical administrative, logistical, and operational support to the SME UNITE Programme. This role will ensure smooth day-to-day functioning of the programme, including event coordination, partner liaison, data management, and reporting. The Operations Executive will work closely with the Deputy Programme Director and wider programme team to deliver efficient processes, quality participant experiences, and compliance with reporting requirements.
Key Responsibilities
Programme Operations
- Support day-to-day operations of SME UNITE activities, including training sessions, workshops, and partnership events.
- Coordinate scheduling, logistics, venue arrangements, and vendor management.
- Assist in the preparation of programme materials, communications, and documentation.
Administrative Support
- Maintain accurate records of participants, partners, and programme activities.
- Assist with procurement, invoicing, and expense claims.
- Prepare reports, meeting minutes, and presentations for internal and external stakeholders.
Stakeholder Engagement
- Serve as a point of contact for SMEs and partners on operational matters.
- Provide timely responses and follow-up to queries from participants and service providers.
- Support the coordination of advisory council and industry roundtable meetings.
Data & Reporting
- Maintain and update databases of programme metrics, participants, and outcomes.
- Assist with tracking KPIs, budget utilisation, and grant compliance requirements.
- Generate reports and dashboards for internal management and funders.
Qualifications and Requirements
Education & Experience
- Diploma or Bachelor's degree in Business Administration, Management, or related field.
- 1–3 years of experience in operations, events, or programme administration preferred.
- Experience working with SMEs, government-funded programmes, or trade associations is advantageous.
Skills & Competencies
- Strong organisational and time management skills with attention to detail.
- Good written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); knowledge of data management tools a plus.
- Ability to multitask, prioritise, and meet deadlines in a fast-paced environment.
- Positive team player with a service-oriented mindset.
