Job summary
A leading construction materials company in Singapore seeks an Operations Support Specialist to assist with dispatch operations, maintain Standard Operating Procedures, manage inventories, and support audits. Responsibilities
- Assist maintain and update Standard Operating Procedure (SOP) of logistics areas.
- Provide general support to dispatch operations.
- Set up inventory record for Fleet Access cards.
- Check daily dispatch reports and verify data.
- Track sample testing status and follow up with laboratories.
- Manage tablets and SIM cards asset issuance.
- Liaise with Telco and drivers on data usage.
- Raise Purchase Requisition.
- Prepare sponsor letters for plant services.
- Issue goods pass for items out of port premises.
- Carry out purchasing tasks as required.
- Assist with internal audits.
- Support cement terminal operations.
- Coordinate ad-hoc project works.
- Manage importation of parts.
- Assist senior manager with berthing slots management.
- Support senior manager in monitoring inventory.
- Perform POD in SAP for HDB orders.
- Submit deliveries summary to HDB.
- Ensure correct format and interval for payment processing.
Job Responsibilities
- Assist maintain and constantly update the Standard Operating Procedure (SOP) of LCS, JCL and YTLCTS especially logistics/ cement dispatch related areas according to the change in the process and method.
- Provide general support to the dispatch operations of YTLCTS.
- Set up inventory record to track Fleet Access cards movement for LCT/ JCT/ YTLCT.
- To check the daily dispatch reports and verify the data against Site Printing and SAP.
- Track OPC & GGBS sample testing status and follow up with the respective laboratory for the final test result issuance. Review and confirm the report upon receiving.
- Manage tablets and SIM cards asset issuance and return with transporters as per the prevailing procedure.
- Liaise between the respective Telco and drivers/ transporters on the data usage and track them according to the billing cycle.
- Raise Purchase Requisition for YTLCTS & NYC and ensure the PO is issued accordingly.
- Preparation of short-term sponsor letter to plant related services/ visitors based on Ashar & IT requests.
- Issuance of goods pass out note to transfer items and goods out of the port premises especially plant related which is including IT items and spare parts.
- Carry out purchasing related task as when required and being tasked.
- All other ad-hoc admin task that is required by Nanyang Cement PL & YTLCTS including supporting the plant engineering team’s admin work.
- Spearhead the internal audit by assisting the team throughout the audit process.
- Assist cement terminal operations on day-to-day operational requirements.
- Actively involve, assist and support in coordinating ad-hoc project works requirements.
- Handling and managing importation of parts of YTLCTS including plant related import’s from overseas.
- To assist the senior manager operations to monitor, manage and book the berthing slots in Jurong Port portal/ system and alert him/she as and when significant changes/ movement are detected. Work closely with the Sen Manager to for on-time berthing of the vessels.
- To support the senior manager in monitoring the inventory and daily offtake of all the materials.
- To perform POD in SAP for HDB orders upon successful award of HDB job as per the requirement.
- Scheduled submission to HDB on deliveries summary upon checking and matching actual volume delivered based on-site printing versus SAP data.
- To ensure the submission of hardcopy DOs in the correct format and interval for payment processing to HDB.
