Job description
Job Responsibilities
  • Perform mail, printer and/or other ad hoc general administrative duties as needed according to established procedures
  • Sort, distribute, and log registered mail
  • Sort and stamp outgoing mail
  • Deliver special packages and rush packages
  • Utilize all logs as required by client
  • Utilize software print and mail applications where applicable
  • Use equipment and supplies in a cost-efficient manner
  • Stationeries top up at stationery points
  • Place stationeries orders when needed
  • Fill-up paper in all convenience copiers and printers, providing first line troubleshooting and maintenance
  • Place service calls when needed

To provide high quality administrative support to business by performing/processing tasks not limited to but including:

  • Scan, sort and index documents according to procedures
  • Perform data entry of materials from source documents to system
  • Support record management and all other duties assigned
  • Prompt response to client’s queries, such as assisting clients in locating files
  • Ensure accuracy, integrity and completeness of data

Maintain workplace equipment

Prioritize workflow

Keep workplace tidy

Contribute to the team through cooperation and participation

Communicate with supervisor or client on job or deadline issues

Communicate and interact with clients and colleagues in a professional, positive and courteous manner

Communicate effectively with and update manager on a timely manner

Inform coworkers of pertinent information

All other duties as assigned

Skills Required

  • Willing to work overtime (incl. weekends and holidays) at minimal notice
  • Operation hours are 9am to 8pm Monday to Friday
  • Willing to work rotate shifts (9am to 6pm or 11am to 8pm)
  • Overtime staff coverage is required when the partner is absent (9:00 AM to 8:00 PM).
  • Monthly mobile allowance of $50
  • Working Location: One Raffles Link office
