Job description
Responsibilities:
  • Manage overall back-office operations including accounting, HR, general affairs, and administration
  • Design and improve workflows and systems to enhance operational efficiency
  • Handle bank account management (SMBC, UOB, MUFG Japan)
  • Process vendor payments and prepare invoices
  • Prepare financial documents for P&L and balance sheet reporting; liaise with accounting firms and review finalized statements
  • Coordinate with external accounting firms and tax authorities for accounting and tax matters
  • Act as audit contact person and support annual budget preparation and monthly reporting
  • Prepare payroll data and manage employee records
  • Support recruitment and administer employee benefits programs
  • Coordinate with Japanese legal and financial institutions for Tokyo branch setup
  • Liaise between Singapore and Japanese accounting firms for Tokyo branch accounting and tax processes
  • Coordinate with Japanese staffing agencies for temporary staff hiring
  • Serve as Office Manager for Tokyo branch established in April 2024
  • Manage contracts and assets including office leases and insurance
  • Apply knowledge of Singapore’s employment laws (MOM), company law, and accounting practices
Requirements:
  • Self-motivated with the ability to learn, think critically, and take initiative
  • Proficiency in English and Japanese language for liaising with English speaking and Japanese‑speaking clients and stakeholders.
  • Capable of handling a wide range of back‑office tasks including accounting, HR, and administration
  • Experience in employee data management, payroll preparation, recruitment support, and benefits administration
  • Able to work flexibly and support team members in a small team environment
  • Basic understanding of Singapore’s labor laws (MOM) and company law
  • Basic understanding of contracts and asset management (e.g., office leases, insurance)
  • Basic knowledge of accounting tasks such as bank account management, invoice preparation, and financial document handling is an added advantage
