Job summary

A recruitment agency in Singapore is seeking an Office & HR Administrator / Executive Assistant to manage daily office operations and HR functions. The ideal candidate should have at least 5 years of experience in office management or HR administration and be fluent in Mandarin. Proficiency in MS Office and HRIS systems is required. This position involves overseeing recruitment activities, maintaining employee records, and providing executive support to senior management.

Office & HR Administrator / Executive Assistant

Key Responsibilities

  • Oversee daily office administration to ensure smooth and efficient operations.
  • Manage HR functions including payroll, leave, and attendance records.
  • Handle recruitment activities such as job postings, screening, interview scheduling, and onboarding.
  • Maintain employee records in compliance with regulations and internal policies.
  • Support employee engagement activities, training sessions, and performance reviews.
  • Liaise with external vendors, service providers, and relevant agencies for HR and office matters.
  • Ensure compliance with Singapore employment laws and HR practices.
  • Manage procurement of office supplies and oversee facility needs cost-effectively.
  • Provide executive support to senior management, including calendar management, meeting coordination, and business travel arrangements (flights, hotels, visas, itineraries).
  • Prepare meeting materials, presentations, and reports as required.
  • Screen and prioritize calls, emails, and correspondence, responding on behalf of management when appropriate.

Requirements

  • Diploma/Degree in Business Administration, HR, or related discipline.
  • At least 5 years’ experience in office management, HR administration, or executive assistant roles.
  • Good understanding of Singapore employment laws and payroll processes.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and HRIS systems.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication skills in English, both written and spoken.
  • Able to handle sensitive information with discretion and integrity.
  • Proactive, resourceful, and independent.
  • Fluency in Mandarin is mandatory (for liaising with Mandarin-speaking stakeholders).
