Job summary

A leading facilities management company in Singapore is looking for a Facilities Coordinator. The role involves overseeing daily operations, managing vendors, and ensuring safety compliance. Ideal candidates possess a Diploma and relevant experience, with strong coordination and M&E understanding. Qualifications

  • Possess Diploma or equivalent studies.
  • Prior experience in facilities coordinator / administrator role or related role.
  • Strong coordination skills and the ability to work effectively with vendors, contractors and internal stakeholders.
  • Good understanding of building operations, safety procedures and general M&E maintenance.

Responsibilities

  • Oversee daily facilities operations to ensure a safe and well-maintained workplace.
  • Handle maintenance needs from branch offices, ensuring timely coordination and resolution.
  • Manage and work closely with the alarm system vendor for system upkeep.
  • Coordinate with external contractors for M&E-related tasks.
  • Source and purchase office furniture and equipment when needed.
  • Manage service providers ensuring consistent service standards.
  • Supervise onsite contractors and maintain documentation of service contracts.
  • Support workplace safety as the company’s Fire Warden.
  • Oversee office asset management and inventory updates.
  • Manage the company vehicle and ensure timely inspections.
Job description
Responsibilities
  • Oversee daily facilities operations, including routine office inspections to ensure a safe and well‑maintained workplace, and address staff‑raised facilities issues promptly.
  • Handle maintenance needs from branch offices, ensuring repairs and requests are coordinated and resolved in a timely manner.
  • Manage and work closely with the alarm system vendor, overseeing system upkeep, troubleshooting, and improvement works.
  • Coordinate with external contractors for all M&E‑related tasks such as electrical work, lighting repairs, and air‑conditioning servicing.
  • Source and purchase office furniture, fixtures, and equipment when replacements or new items are required.
  • Manage service providers including cleaning, security, and pest control, ensuring consistent service standards.
  • Supervise onsite contractors and maintain proper documentation of all service contracts, including tracking renewal dates and performance evaluations.
  • Support workplace safety efforts by serving as the company’s Fire Warden and participating in scheduled fire drills.
  • Oversee office asset management, including tagging, inventory updates, and coordination with vendors for repairs, disposal, or replacements.
  • Manage the company vehicle, ensuring it undergoes timely inspections, servicing and general upkeep.
