Job Responsibilities
Work Allocation: 50% Procurement, 50% HR & Administrative
Procurement – 50%
- Handle procurement functions, including sourcing of jumbo bags, diesel oils for forklift, pallets, production use spare parts, office equipment, stationeries, staff uniforms, PPEs, and beverages.
- Responsible for sourcing by getting competitive quotes
- Negotiate components pricing and control cost
- Generate Purchase Requisition and Purchase Orders
- Work closely with operation team on day-to-day operational issues
Human Resources (HR) – 30%
- Handle leave administration, attendance, medical claims matters.
- Administer work permit applications, renewals, and cancellations via WPOL
- Process payroll for blue‑collar workers and prepare IR21 tax clearance.
- Maintain employee records in the HRIS system, including e‑leave, e‑claim, and e‑attendance.
- Prepare employment-related letters for the blue‑collar workers (e.g., appointment, confirmation, salary increment, bonus, warning letters).
- Source and coordinate training courses for employees.
Administrative – 20%
- Assist in organizing company events
- Ensure proper maintenance and upkeep of facilities (e.g. lockers, water dispensers, copier machines).
- Manage and liaise with vendors on office equipment maintenance.
- Verify contractors' invoices
- Support travel arrangements
Others
- Perform any other duties as assigned by management
Job Requirements
- ‘O’ Level/Diploma in Business Administration or equivalent
- Min 2 years of relevant working experience in manufacturing industry
- Preferably with procurement experience.
- Hands on knowledge of payroll software will be an added advantage
- Proficient in Microsoft Office Suite
- Always maintain confidentiality and handle sensitive information
- Resourceful, flexible, take initiatives and able to work independently with minimal supervision
- High level of integrity, responsibility, good team player and can‑do and positive working attitude
- Strong follow‑up skills and ability to see tasks through to completion.
- Capable of handling and prioritizing multiple tasks simultaneously.
- Meticulous, detail‑oriented, and well‑organized.
- Possess a strong sense of urgency.
- Willing to work beyond standard hours during payroll periods or when required.
