Job summary

A prominent recruitment agency in Singapore is looking for a Facilities Coordinator to manage office services, oversee reception duties, and serve as the primary contact for events. The ideal candidate should have a minimum degree in a related discipline and at least 3 years of experience in facilities or office administration. Immediate availability is preferred.

Qualifications

  • Minimum 3 years of relevant facilities/office administrative experience.
  • Able to start immediately or within short notice.

Responsibilities

  • Oversee reception and visitor check-in.
  • Address employee requests by liaising with property management.
  • Serve as primary contact for events and meetings.
  • Manage Slack and ticket queues for approvals.
  • Support office access programs and track site usage reports.
  • Monitor and respond to tickets, emails, Slacks, and calls.
  • Assist with special projects and contribute process improvement ideas.
  • Adhoc tasks and projects as assigned.

Job Responsibilities
  • Oversee reception and visitor check‑in, act as on‑site security when needed, and manage office facilities, including catering, supplies, maintenance, and coordination with building management for service quality and lease compliance.
  • Address employee requests by liaising with property management and maintaining communication with IT, AV, and Security teams.
  • Serve as primary contact for events and meetings, managing setup requirements and providing hands‑on support for room configurations, deliveries, and mail.
  • Manage Slack and ticket queues for approvals and inquiries (e.g., office access, offsite requests).
  • Support office access programs, track site usage reports, and provide administrative assistance to the Workplace Experience team, including budget management.
  • Monitor and respond to tickets, emails, Slacks, and calls, routing requests appropriately.
  • Assist with special projects, contribute process improvement ideas, and ensure accuracy and retention of key program materials while enhancing team productivity and service quality.
  • Adhoc tasks and projects as assigned.
