Job summary

A recruitment agency in Singapore seeks an experienced candidate to provide administrative and sales support to the service sales team. The role includes preparing quotations, organizing meetings, and managing inventory. Ideal applicants will have at least three years of relevant experience and a diploma or degree in Business Administration or a related field.

Qualifications

  • Minimum 3 years of relevant working experience.
  • Previous experience in Material control, Sales Support, or Office Administration.
  • Experience in Coordination or Customer Service roles.

Responsibilities

  • Provide administrative and sales support to the Service sales team.
  • Organize meeting logistics including travel arrangements.
  • Prepare agendas and minutes for meetings.
  • Manage document control and retrieval systems.
  • Generate purchase orders and handle invoicing.
  • Maintain accurate records of customer data and sales activity.
  • Perform inventory control and management of parts.
  • Conduct and witness incoming inspections of power plant parts.
  • Coordinate and carry out pre-packing activities at the power plant.
  • Expedite parts readiness for maintenance events.

Job Responsibilities


  • Provide administrative and sales support to the Service sales team, including preparation of quotations, contracts, reports, presentations, and correspondence.

  • Organize meeting logistics with counterparts, including travel arrangements, visa applications, and permit coordination for site access.

  • Prepare agendas and minutes for meetings and ensure follow-up actions are tracked and completed.

  • Manage efficient document control and retrieval systems to ensure accuracy and compliance.

  • Generate purchase orders and handle invoicing through internal systems (“Intramart”) and monitor payment status from customers and to suppliers.

  • Coordinate with counterparts on shipping documents such as bills of lading and shipping marks.

  • Maintain accurate records of customer data, sales activity, and parts usage to support reporting needs such as sales forecasts and monthly performance results.

  • Perform inventory control, coordination, and management of parts for Power Plant equipment.

  • Conduct and witness incoming inspections of power plant parts and oversee the proper storage and handling of materials at warehouses.

  • Coordinate and carry out pre-packing activities at the power plant site and prepare required logistics and shipping documentation in collaboration with various counterparts and logistics providers.

  • Expedite and follow up with counterparts to support parts readiness for planned and unplanned maintenance events.


Requirements


  • Previous experience in Material control/Sales Support/Office

  • Administration/Coordination/Customer Service role

  • Minimum 3 years of relevant working experience

  • Diploma/Degree in a Business Administration/Logistics/Supply Chain or related field
