Job Description
- Education Governance and Policy Implementation
- Support the Associate Provost (PGP Education) and Associate Provost (Lifelong Learning) in the end-to-end management of academic policies, governance, and curriculum matters — from policy formulation and documentation to execution and follow-up.
- Track committee decisions, manage action items, and ensure that policy changes are accurately communicated and operationalised across Schools and administrative units.
- Coordinate policy implementation activities, maintain accurate records, and ensure procedural compliance with university and regulatory frameworks.
- Provide administrative support for academic policy reviews, approvals, and documentation updates.
- Draft policy papers, ensuring alignment with university-wide frameworks and external regulatory requirements.
- Curriculum, Pedagogy and Academic Resources (Review, Development, Enhancement)
- Conduct data collection and analysis to support programme reviews, curriculum enhancements, and pedagogical innovations.
- Assist in preparing briefing papers, reports, and presentation materials for PGPP and PCE curriculum or policy reviews.
- Work closely with Schools and administrative offices to ensure proper documentation and timely follow-up of curriculum submissions and changes.
- Support the implementation of initiatives aimed at enhancing academic delivery and student learning outcomes.
- Committee Secretariat Functions
- Serve as the main secretariat for the Postgraduate Professional Programmes Committee (PGPPC) and the Professional and Continuing Education Committee (PCEC), as well as the co-secretariat for the University Education Committee (UEC).
- Plan and facilitate smooth execution of committee meetings — including scheduling, agenda preparation, collation of papers, minute‑taking, and follow‑up of action items.
- Liaise with committee members, Schools, and offices to ensure smooth execution of governance activities and timely completion of deliverables.
- MOE Relations and Reporting
- Support the preparation and submission of data, reports, and responses for the Ministry of Education (MOE), Board of Trustees (BOT), and other internal or external bodies.
- Coordinate with Schools and administrative offices to gather information and verify data for management and regulatory reporting.
- Maintain databases and documentation related to PGPP and PCE governance and performance metrics.
- Education Strategy and Operational Delivery
- Contribute to the planning and delivery of educational initiatives and institutional projects under the direction of the Director (Education Strategy) and Associate Director (PGP and PCE Education).
- Participate actively in project implementation, monitoring timelines, and supporting logistics, communications, and reporting.
- Support process improvements, system enhancements, and quality assurance activities related to academic operations.
- Team development
- Contribute actively towards building a high-performing team.
- Other duties as assigned.
Qualifications
- Bachelor's Degree.
- Minimum 5 years of relevant work experience required.
- Strong team player with a collaborative and collegial approach; able to work effectively across academic and administrative units.
- Meticulous, detail-oriented, and able to manage complex operational and policy-related tasks with accuracy.
- Strong organisational skills with the ability to plan, prioritise, and deliver results under tight deadlines and shifting priorities.
- Strong analytical and problem-solving abilities, with a focus on generating practical and data-driven solutions.
- Clear and professional communicator with strong interpersonal, verbal, and written communication skills.
- Proactive, resourceful, and able to work both independently and as part of a team.
- Enthusiastic about improving processes and systems to enhance efficiency and service quality.
- Demonstrated ability to coordinate multiple concurrent projects and ensure timely follow-through.
- Prior experience in the higher education sector, with a sound understanding of Singapore's higher education landscape, is preferred.
- Experience supporting or contributing to educational innovations, policy development, strategic initiatives, or change management projects will be an advantage.
