We are seeking a highly trusted, discreet, and adaptable Manager to the CEO to support the CEO/Principal within a family office environment. This role sits at the heart of the CEO Office and requires exceptional judgement, confidentiality, and the ability to manage a wide range of administrative, coordination, and ad-hoc responsibilities.
The successful candidate will act as a reliable right hand to the CEO, ensuring seamless day-to-day operations, effective coordination across internal and external stakeholders, and smooth execution of sensitive matters relating to the family office.
Executive & Principal Support
- Provide end-to-end executive support to the CEO/Principal, including complex calendar management, scheduling, and travel coordination
- Act as gatekeeper to the CEO, managing priorities and requests with sound judgement
- Prepare meeting agendas, briefing materials, presentations, and follow-up action items
Office Coordination
- Support coordination across investment, finance, legal, compliance, and external advisors (banks, lawyers, auditors, consultants)
- Assist in organising board meetings, investment committee meetings, and family meetings, including logistics, materials, and minutes
- Track key action items, deadlines, and deliverables across CEO-led initiatives
Confidential & Sensitive Matters
- Handle highly confidential personal, financial, and business information with absolute discretion
- Support the CEO on sensitive, time-critical, or private matters related to the office
- Exercise strong judgement when managing communications involving the family, partners, and advisors
Communication & Relationship Management
- Serve as a primary liaison between the CEO and internal team members, partners, and external stakeholders
- Draft, review, and manage correspondence on behalf of the CEO where appropriate
- Maintain professional and trusted relationships with key stakeholders
Office & Administrative Management
- Oversee administrative processes for the CEO Office, ensuring efficient record-keeping and documentation
- Maintain organised files relating to investments, corporate matters, and governance documentation
- Support light office management or operational tasks as required in a lean environment
Ad-hoc & Special Projects
- Assist with special projects, research, or coordination tasks as assigned by the CEO
- Adapt to evolving responsibilities in a dynamic and entrepreneurial family office setting
Requirements
- Bachelor’s degree in Business Administration, Finance, or a related field
- Minimum 5 years of experience supporting senior executives, principals, or founders
- Prior experience in a family office, asset management firm, private banking, or professional services environment is highly preferred
- Strong understanding of confidentiality, governance, and stakeholder management
- Excellent organisational, communication, and time-management skills
- High level of discretion, maturity, and emotional intelligence
- Proficiency in Microsoft Office; strong presentation and documentation skills
- Comfortable working independently in a lean, high-trust environment
