Maintenance Coordinator
Job Summary
The Maintenance Coordinator is responsible for coordinating maintenance activities for engineering systems and platforms while supporting the upkeep and enhancement of related software tools and applications. Approximately 70% of the role focuses on maintenance operations and ILS coordination, and 30% on software/system support, including issue triaging, basic troubleshooting, and coordinating with software engineers for fixes and enhancements. The role ensures high system availability, accurate documentation, and seamless integration between physical assets and supporting software systems.
Key Responsibilities
1. Maintenance Operations & ILS Coordination (≈ 70%)
- Coordinate and schedule preventive and corrective maintenance activities to minimise downtime and ensure high system availability.
- Monitor, log, and track maintenance issues or service tickets raised by clients through helpdesk platforms or communication channels, and provide regular status updates.
- Maintain accurate records of all maintenance activities, including issue logs, work orders, service reports, and resolution records.
- Prepare and support technical and commercial proposals for maintenance projects, including cost estimation, work scope definition, and resource planning.
- Interface with engineering, procurement, logistics, and customer teams to align maintenance deliverables with Integrated Logistics Support (ILS) requirements.
- Maintain maintenance schedules, performance dashboards, and service-level reports to track KPIs and contractual compliance.
- Assist in the development, review, and upkeep of ILS documentation such as maintenance manuals, spare parts lists, configuration data, and technical publications.
- Support obsolescence management, configuration control, and asset tracking across the lifecycle of systems.
- Coordinate field teams and subcontractors to ensure timely execution of maintenance work and adherence to safety, regulatory, and contractual requirements.
2. Software & Systems Support (≈ 30%)
- Act as the first point of contact for software-related issues impacting maintenance operations (e.g., maintenance management systems, dashboards, reporting tools, simple web interfaces).
- Perform first-level troubleshooting for software issues (e.g., login/access issues, basic configuration, data inconsistencies) before escalating to software engineers.
- Work closely with the Software team to triage bugs, document issues, and support testing of bug fixes and feature enhancements.
- Assist in maintaining system documentation related to software changes, configuration, and interfaces with maintenance/ILS systems.
- Support simple data extraction and reporting (e.g., running queries, exporting logs, preparing reports from maintenance or monitoring systems).
- Participate in user acceptance testing (UAT) for new features, enhancements, or upgrades to maintenance-related software tools.
- Provide feedback from operations/maintenance users to the software team to improve usability, reliability, and workflow integration.
Requirements
- Diploma or Degree in Mechanical/Electrical/Electronics/Mechatronics Engineering, Systems Engineering, Computer Engineering, or related field.
- 1–3 years of experience in maintenance coordination, ILS, or technical operations.
- Comfortable with basic software concepts, such as:
- Reading and understanding simple logs or error messages
- Using web-based admin panels or configuration tools
- Basic understanding of databases, REST APIs, or scripting will be an advantage
- Strong coordination, documentation, and follow‑up skills.
- Good problem‑solving and analytical skills with attention to detail.
- Ability to communicate effectively with both engineering/maintenance teams and software/IT teams.
- Proficient in MS Office (Word, Excel, PowerPoint); familiarity with project or ticketing tools (e.g., Jira or similar) is a plus.
- Able to work independently and as part of a cross‑functional team in a fast‑paced environment.
