Responsibilities

The scope of a logistics & facilities coordinator job is generally responsible for the planning, coordination, and management of logistics operations, building facilities, and workers’ dormitories to ensure safe, efficient, and compliant operations. The role covers materials and equipment flow, building upkeep, and welfare housing, in line with regulatory requirements and company standards.

1. Logistics Management
  • Plan and manage the transportation, storage, and delivery of construction materials, equipment, and supplies.
  • Coordinate fleet operations, vehicle scheduling, and subcontracted logistics providers.
  • Oversee warehousing, loading/unloading operations, and site delivery scheduling to minimize downtime.
  • Monitor logistics costs and implement cost‑saving measures.
  • Ensure compliance with transport regulations, workplace safety, and environmental standards.
  • Logistic reporting such as GPS tracking & checking, vehicle utilization
2. Facilities Management
  • Oversee the operation, maintenance, and repair of company facilities (offices, workshops, yards, common areas).
  • Implement preventive maintenance programmes for M&E systems, utilities, fire safety equipment, and building infrastructure.
  • Coordinate contractors and vendors for facility upkeep and improvement works.
  • Ensure compliance with building codes, fire safety standards, and workplace safety regulations.
  • Monitor facility budgets and optimise energy and resource usage.
3. Dormitory Management
  • Manage day-to-day dormitory operations for workers’ accommodation, ensuring a safe, hygienic, and orderly living environment.
  • Enforce house rules, occupancy limits, and proper use of dormitory amenities (laundry, kitchen, canteen, recreation areas).
  • Coordinate cleaning, security, and maintenance services.
  • Ensure compliance with MOM Foreign Employee Dormitories Act (FEDA), fire safety, and public health requirements.
  • Address residents’ issues, grievances, and welfare concerns promptly.
  • Maintain dormitory records (occupancy, inspections, incidents, maintenance requests).
4. Health, Safety & Compliance
  • Enforce workplace safety and dormitory health standards (WSH, NEA, SCDF regulations).
  • Ensure emergency preparedness: fire drills, evacuation routes, first‑aid facilities.
  • Implement COVID‑19 / public health protocols where required (isolation rooms, safe distancing).
  • Manage proper waste disposal, pest control, and environmental hygiene.
5. Administration & Reporting
  • Prepare reports on logistics operations, facility maintenance, and dormitory occupancy.
  • Maintain records of permits, licences, and compliance audits.
  • Monitor budgets and expenditures for logistics, facilities, and dormitory operations.
  • Recommend process improvements to management for efficiency and compliance.
6. Team Leadership & Coordination
  • Supervise logistics staff, drivers, dormitory wardens, cleaners, and maintenance personnel.
  • Provide training on safety, compliance, and operational procedures.
  • Foster a disciplined, safety‑conscious, and service‑oriented work culture.
