Job Summary
We are seeking an experienced and highly organized secretary to provide administrative and secretarial support to our litigation/arbitration team. The ideal candidate should possess strong attention to detail, excellent communication skills, and the ability to manage multiple tasks in a fast-paced legal environment.
Key Responsibilities
Litigation Support
- Prepare, format, and file court documents, pleadings, affidavits, and correspondence in accordance with court requirements and timelines.
- Handle e-filing through the eLitigation portal and maintain proper case records.
- Manage hearing dates, trial schedules, and submission deadlines.
- Organize and maintain case files (both physical and electronic), ensuring all documents are up to date.
- Liaise with clients, court officers, and external counsel in a professional manner.
- Prepare hearing bundles, trial materials, and exhibits.
Arbitration Support
- Assist in filing and managing arbitration proceedings (e.g., SIAC, ICC, HKIAC, or ad hoc).
- Prepare and format arbitration submissions, witness statements, and exhibits.
- Track deadlines for procedural orders and coordinate with tribunals and arbitral institutions.
- Arrange logistics for hearings, including venue booking, document printing, and transcript coordination.
- Maintain correspondence and records relating to arbitration matters.
General & Administrative
- Draft and proofread correspondence, memos, and simple legal documents.
- Maintain lawyers’ calendars and coordinate meetings, hearings, and travel arrangements.
- Assist with billing, time entry, and expense tracking.
- Perform general administrative duties such as scanning, photocopying, and document management.
Requirements
- Diploma or higher qualification in Legal Studies, Business Administration, or related discipline.
- Minimum 2–3 years of experience as a litigation or arbitration secretary in a law firm.
- Familiarity with eLitigation and SIAC / ICC / HKIAC filing platforms.
- Strong understanding of court and arbitration procedures.
- Proficient in Microsoft Office (Word, Excel, Outlook) and document management systems.
- Excellent organization, communication, and multitasking skills. Proficiency in Mandarin is a plus to liaise with Chinese clients.
- High attention to detail, discretion, and professionalism in handling confidential information.
- Proactive, dependable, and able to work independently under pressure.
- Strong sense of teamwork and commitment to quality service.
